Position Summary:
The Facilities Supervisor is responsible for overseeing the day-to-day operations, maintenance, and safety of the firm’s offices. This role ensures a professional, secure, and highly functional environment that supports attorneys, staff, and clients. The Facilities Supervisor plays a critical role in maintaining confidentiality standards, managing vendor relationships, and ensuring facilities align with the firm’s operational and client service expectations.
Key Responsibilities:
Facility Operations & Maintenance
- Oversee daily facility operations, including HVAC, electrical, plumbing, and general office systems
- Ensure conference rooms, offices, and client-facing areas are consistently maintained to a high standard
- Coordinate preventive maintenance and repairs with minimal disruption to legal operations
- Maintain detailed records of maintenance activities and service history
Vendor & Contractor Management
- Manage third-party vendors (janitorial, security, building management, maintenance)
- Ensure vendor adherence to confidentiality, security, and service expectations
- Negotiate contracts and monitor vendor performance
Health, Safety & Compliance
- Ensure compliance with applicable safety regulations and building requirements
- Conduct safety inspections and maintain compliance documentation
- Oversee emergency preparedness, including evacuation procedures and drills
Space & Workplace Management
- Support office space planning, attorney office assignments, and workspace optimization
- Coordinate office moves, renovations, and expansions
- Ensure readiness of conference rooms and common areas for client meetingsBudget & Cost Management
- Assist in managing facilities budget and controlling operational costs
- Review and approve invoices and service expenses
- Identify opportunities for cost efficiency without compromising quality
Team Leadership
- Supervise facilities staff and coordinate with building management
- Assign and prioritize work orders and projects
- Provide training and performance feedback
Work Order & Systems Management
- Manage work order system to track facility requests and resolutions
- Monitor response times and service quality
- Implement preventive maintenance schedules
Emergency Response
- Act as primary contact for facility-related emergencies
- Coordinate response efforts to ensure minimal disruption to firm operations
- Communicate effectively with leadership during incidents
Qualifications:
- High school diploma required; associate’s or bachelor’s degree preferred
- 3–5+ years of facilities or office operations experience, preferably in a professional services environment
- Prior supervisory experience preferred
- Strong understanding of building systems and office operations
- Experience managing vendors and service contracts
- Familiarity with safety and compliance standards
- Experience working in environments requiring discretion and confidentiality preferred

Working Conditions
- Full-time in office position in San Francisco, CA
- May require occasional after-hours support for emergencies or office needs
- Regular movement throughout office spaces and occasional lifting of supplies or equipment

Compensation & Benefits:
- This is a non-exempt, hourly position with a pay range of $87K-$105K annually, depending on experience and qualifications. Full-time in office position in San Francisco, CA
